Accessing and Understanding the Inventory Dashboard

The Inventory Dashboard provides Inventory Management subscribers with valuable information about vehicle inventory, including aging data, a used inventory water breakdown, used inventory price to market breakdown, and details on vehicles missing data. 

Note:  The Inventory Dashboard is included in Autosoft's subscription-based Inventory Management product. You must have a subscription to Inventory Management and user permission to access the Inventory Dashboard.  

To access the screen, hover over the Vehicle application button in the main navigation bar. The Vehicle options menu will open. Select Inventory Dashboard

You can also reach the Inventory Dashboard by clicking the Inventory Dashboard button in the upper-right corner of the Vehicle Search, Appraisal Search, and Inventory Pricing Review screens.

The Inventory Dashboard will open. It's divided into seven cards.

The date the last Inventory Pricing Review was performed is displayed on the left side of the screen for your reference. On the right side of the screen, use the Exclude Wholesale button to control whether the screen's data includes wholesale vehicles. Clicking the button removes the wholesale vehicles from the data. The button will now be the Include Wholesale button. Clicking it will add the wholesale vehicles back into the data.

Used Inventory - Price to Market %

This card has not changed. This card uses the default price you've established in Setup for Inventory Pricing Review and digital merchandising purposes. This can be Internet Price, MSRP, List Price. The title of the card will change to reflect the selected price.
The card provides a breakdown of your used inventory based on whether the vehicles are priced under or over market value. Vehicles are collected into color-coded groupings of less than 90%, 90 to 95%, 96 to 100%, 101 to 105%, 106 to 110%, and more than 110% of market. Each section of the chart provides the number of vehicles in the grouping.

Clicking on a segment of the chart takes you to the Inventory Pricing Review screen, and the screen will be filtered to include only the vehicles in the selected segment so you can use the screen to make the necessary pricing adjustments to better align with the market.


Equity - Water
This card breaks down equity in your used inventory. The pie chart is color-coded, with each color corresponding to the positive or negative equity you have in a vehicle based on the vehicle's book value. The red (more than $1,000 underwater) and orange ($1 to $1,000 underwater) segments display the number of vehicles with negative equity, while the blue and green segments illustrate the number of vehicles in your used inventory with positive equity ($0 to $1,000 and more than $1,000, respectively).

Clicking on a segment of the chart takes you to the Inventory Pricing Review screen, and the screen will be filtered to include only the vehicles in the selected segment so you can use the screen to make the necessary disposition or pricing adjustments.


Inventory Aging

This card provides a quick look at the aging for your vehicle inventory. The green, blue, and black blocks display the average days in stock for new, used, and wholesale vehicles (when included in the dashboard data).

The bar graphs on the right list your dealership's total number of new retail, used retail, and wholesale vehicles (unless wholesale data has been excluded). Each category's bar is broken down by age range (0 to 15 days, 16 to 30 days, 31 to 45 days, 46 to 60 days, 61 to 90 days, 91 to 119 days, and 120 and more days), with each range designated by color. To the right of the bar, the total number vehicles in that inventory category is listed. On the right side of the card, the average days in stock for new, used, and wholesale vehicles is listed.

Hovering over an age range in an inventory category bar reveals the number of vehicles in that range, the average profit possible per vehicle in that range (calculated by subtracting accounting cost from the Inventory Pricing Review Bookout Default Pricing Column's defined price; excludes vehicles with no accounting cost and/or no price in default pricing column), the average investment in a vehicle in that range, and the total investment in the range's vehicles. This allows you to determine how much of your dealership's investment is tied up in a set of aging vehicles.

Vehicles Missing Bookout Data
This card displays the number of vehicles missing Wholesale Valuation and Retail Valuation. Each bar is divided into color-coded sections representing used retail and used wholesale vehicles.

Hovering over a section of a bar reveals the specifics of that segment, including the vehicle type, the number of vehicles missing the information, and the category of missing information. To the right of each bar is the total number of vehicles in the bar's groupings.

Clicking on a segment of the bar will take you to the Vehicle Search screen, and the vehicle list will be filtered to include only the vehicles in the selected segment. You can work your way through the list to perform a bookout on each vehicle to add the missing valuation.


Vehicles Missing Merchandising Data
This card provides information about missing data necessary for digital merchandising. The tab includes Odometer, Vehicle Images, Vehicle Description, and Excluded from Exports bars. Each bar is broken down into color-coded sections for New Retail, Used Retail, and Wholesale (unless you've used the Exclude Wholesale toggle to remove wholesale vehicles from the screen's various cards). To the right of each bar is the total number of vehicles in the bar's groupings.

Hovering over a color-coded section of a bar will reveal the number of that vehicles in that category missing that merchandising data.

Clicking on a segment of the bar takes you to the Vehicle Search screen, and the vehicle list will be filtered to include only the vehicles in the selected segment. Open a vehicle record to access the Overview page, where you can enter the missing odometer reading and vehicle description. You can also mark the vehicle for export on the Overview page and add vehicle images.

 

Vehicles Missing Pricing Data
This card provides information on missing vehicle pricing data. The tab includes MSRP, List Price, Internet Price, and Accounting Cost bars. Each bar is broken down into color-coded sections for New Retail, Used Retail, and Wholesale (unless you've used the Exclude Wholesale toggle to remove wholesale vehicles from the screen's various cards). To the right of each bar is the total number of vehicles in the bar's groupings.

Alerts
This card displays any alerts regarding your vehicle inventory. The number of alerts will display for your reference. This is a quick way to gauge how well you are managing your vehicle inventory. Alerts include information about vehicle aging, pricing, and marketing.
