When you click the Vehicle app button in the blue navigation bar, the Vehicle Search screen will open, and your cursor will automatically locate in the Search field.
Use the Inventory Vehicles, Customer Vehicles, and All Vehicles buttons to limit the vehicle search to specific categories of vehicles.
- Inventory Vehicles: This option displays all vehicles your dealership has listed for sale. The system will display the Inventory Vehicles search by default when you open the Vehicle application.
- Customer Vehicles: This option displays any vehicle that is not dealership inventory and is owned by a customer or prospect of the dealership. When a trade vehicle is entered in a working deal, a vehicle record will be created and will appear in this list even if there is no customer associated with it.
- All Vehicles: This option displays all inventory and customer vehicles, along with any appraisal vehicles with no customer associated.
By default, all vehicles in your inventory are displayed on the Vehicle Search screen. Each inventory list entry includes Type (New, Demo, Used, Certified Used), Status (In Stock, On Order, or Sold), Stock No (Stock Number), Year, Make, Model, Trim, Body, Exterior Color, Price, and Payment (the Payment is based on default deal parameters set in your system). However, customer and all vehicle lists differ in what they display (see the Advanced Search section below for more details).
You can use the scroll bar on the right of the screen to scan the vehicle list. You can also sort the list by column content by clicking a column heading. Clicking a heading once will sort the list in ascending alphabetical or numeric order based on that column’s content; clicking it a second time will sort the information in descending order based on that column’s content.

When you navigate away from the Vehicle Search screen and return, you'll find that the last search format you used automatically populates the screen. To clear your search criteria, click the Clear button to the right of the Search field and button. This will clear your search terms and allow you to start a fresh search.
The Quick Search field acts as a universal search. You can type a vehicle’s stock number, last six characters of the VIN, order number, invoice number, type, status, make, model, year, color, or lot location and click the Search button or press ENTER to limit the vehicle list to only those that match your search criteria. Entering multiple search terms separated by spaces will reveal results containing all of those search terms. For example, entering “Ford Fusion” will reveal all results containing both Ford AND Fusion. Likewise, if you enter “Fusion Used,” the results will contain only used or certified used Fusions.
The Advanced Search option on the Vehicle Search screen allows you to refine the inventory and customer vehicle search lists based on as much or as little information as you wish. This makes it easy to find vehicles that match your customers' needs.
Using Advanced Search for Inventory Vehicles
The Advanced Search option for inventory vehicles allows you to filter the dealership inventory by Stock Number, Type, Odometer reading, Status, Days in Stock, vehicle Year, Make, Model, Exterior Color, License Plate, VIN, Disposition (retail or wholesale), Last Updated date, Price, and Payment.
Step 1. Click the Vehicle application button in the main navigation bar. The Vehicle Search screen will open to Inventory Vehicles.
Step 2. If your default vehicle search method in your user profile is not set to Advanced Search, when you open the Vehicle Search screen, you will have to click Advanced Search to access the filter fields. If it is set to Advanced Search, the Advanced Search fields will automatically open.
Step 3. The filter options are comprised of either drop-down menus or fillable fields.
For the drop-down fields, click the Options button to open a drop-down menu, where you can either select the criteria from the list or begin typing the filter term in the entry field to limit the options to only those that contain the characters you've typed.
For the fillable filter options, simply type the terms you would like to use, such as the vehicle year, minimum and maximum odometer readings, and minimum and maximum price.
Step 4. Continue to enter search parameters until you reach the Payment field, which you can use to filter the vehicle list to only those that meet your potential buyer's budget. You can verify and adjust the payment parameters by clicking the Calculator icon to the right of the field. The Payment Parameters pop-up will open.
Adjust the parameters as necessary for your buyer and click Set Parameters. This will change only your payment parameters for the search, leaving the default retail deal parameters in Setup untouched.
You can also click in the Payment field in the Advanced Search parameters or click the field's options caret to set payment ranges. Options will open where you can specify the payments by which you'd like to filter the vehicle list.
- Select the More Than option to search the vehicles for those with payments over the dollar amount you enter in the field to the right.
- Select the Between __ And option to search for vehicles that fall within the specified pay range entered in the Between and And fields.
- Select the Less Than option to search for vehicles with payments less than the dollar amount you enter in the field to the right of the option.
|Note: The vehicle prices are pre-tax and do not include any options your customer may wish to add; therefore, to restrict the results to those that will be closest to your customer's budget, we recommend that you lower the payment specifications you enter by approximately 15 to 25 percent to accommodate any options, fees, and taxes that will be added while desking the deal.|
Step 5. When you've finished setting your search parameters, click Search. The vehicles that meet the criteria you've selected will display below.
Using Advanced Search for Customer Vehicles
The Advanced Search option for customer vehicles allows you to filter any customer-owned vehicle or dealership vehicle that is not for sale by Stock Number, VIN, Odometer reading, Customer Type, Customer Number, Last Updated date, Year, Make, Model, Exterior Color, License Plate, Delivery Date, and customer Last and First Names, Business Name, Address, Phone number, and Email address.
Step 1. Click the Vehicle application button in the main navigation bar.
Step 2. Select Customer Vehicles.
Step 3. If your default vehicle search method in your user profile is not set to Advanced Search, when you open the Vehicle Search screen, you will have to click Advanced Search to access the filter fields. If it is set to Advanced Search, the Advanced Search fields will open.
The fields allow you to search based on vehicle year, make; and model, and customer name, number, and type, among other parameters.
Step 4. Enter as many or few search parameters as you wish. When you're done, click Search. The vehicles that meet your criteria will display below.
